About The Role

Reporting to the Executive Counsel, the Events Administrator will ensure that client and staff events are well organised, well attended and appropriately represent the brand of Gilbert + Tobin. The role will also involve secretarial support responsibilities. This will include:

  • Planning and managing calendar of events
  • Organising event logistics including catering, room bookings, equipment hire, name badges etc
  • Managing invitation lists
  • Preparing invitations and co-ordinating related follow ups to clients to maximise attendance at events
  • Collating marketing collateral to be distributed to clients at events
  • Onsite support for events including welcoming guests, room preparation and liaison with other support staff (i.e. IT, Reception, Operations)
  • Event de-briefing activities including recording attendance, collating feedback
  • Communicating clearly, professionally and in line with G+T brand to staff and clients
  • Executive Assistant to EC including typing, diary management, flight bookings, drafting comms, preparing and amending Powerpoint slides, verbal and written communications with staff and clients etc

About You

The successful candidate should be able to demonstrate exposure to secretarial and event management. You should also be able to demonstrate:

  • Outstanding communication skills, both written and verbal
  • The ability to present information professionally, clearly and accurately, including copy for communications, reporting and other relevant content 
  • Very strong attention to detail
  • Highly competent with Microsoft office suite, including Excel and Powerpoint
  • Resilience and composure under pressure
  • Ability to quickly learn new software, processes
  • Pro-active, practical, pragmatic and solutions-focussed
  • Experience with customer relationship management systems preferred
